Always remember the golden rule of writing cold emails: talk less about you and your offerings and more about your prospect’s pain points and how you can resolve them.

Here, we have shared 2 cold email sequences for lead generation our sales team has used to achieve a reply rate between 5-8%.

This signals to the recipient that you understand their challenges and are offering a specific solution to a real problem they are dealing with.
  • Personalization: The use of industry-specific language in each email helps to personalize the message, making it more relatable and credible.
  • Escalation in Urgency: The progression from the initial email to the second follow-up sees a gradual increase in urgency.
    • The initial email introduces the problem and suggests a solution.

Once you log in to Saleshandy, connect your secondary domain email accounts

You can use our Email account calculator if you are unsure how many secondary cold email domains and email accounts you need.

However, our cold emailing experts at Saleshandy suggest that the best practice is to create 5 email accounts from 1 domain and send 50 emails per day from each account to maintain an optimum sender reputation.

Once your email accounts are ready, you must connect them with Saleshandy.

Best Practice: Link Multiple Email Accounts To Enable Sender Rotation

We at Saleshandy highly suggest using multiple email accounts for more human-like outreach.

Saleshandy offers a sender rotation feature that automatically switches sender email accounts in your cold email sequence without affecting the sender reputation of any single account.

With this feature, you can also send bulk emails at scale without hurting the sender’s reputation of any email account.

Connect Email Accounts In Bulk with Saleshandy:

If you want to connect bulk emails in Saleshandy, refer to this sample CSV and follow this step-by-step tutorial guide on uploading bulk email accounts.

Upload bulk emails on Saleshandy

You must set the sending settings once your email accounts are connected. This step is essential to warm up your email accounts.

This is how you can do it:

  • Go to Settings>Email Accounts> Sending Settings.
  • The daily quota of each email address should be 50 or fewer.
  • The time interval between each email should be set between 60 to 190 seconds.
  •  You must set an email ramp-up between 10% and 15% to gradually increase your daily sending limit.

Now, the next step for you is to warm up your email addresses to build a strong sender reputation.

Saleshandy has partnered with TrulyInbox (an email warm-up tool miming human-like email sending and interaction mechanisms) to warm up email accounts and gradually build solid relationships with the ESPs.

You can follow this guide to connect your accounts with TrulyInbox.

Trulyinbox dashboard

If your email accounts are new, try to maintain your email deliverability at 95% for the initial 15 days while tracking them to maintain a high sending reputation in the future.

Step 3: Set Up your Cold Email Campaign

Now that your email accounts are ready, it’s time to create your cold email sequence!

  • So, first, you need to click the “Create Sequence” button.
Create sequence in Saleshandy
  • Click ‘Add Step,’ and the email writing tab will appear. Here, you can start composing your email. Make sure you write the subject line, Icebreaker statements, CTA, and body.
Create Sequence
  • You can use any of the cold email sequence templates provided above or choose templates from our library.
  • After finalizing your email copies, it is time to personalize them for higher engagement rates. You can use merge tags to directly add your prospect’s name, company name, industry, job title, etc.
  • While drafting your email, check the email preview box to see how it will appear in your prospect’s inbox.

Now that your first email is ready, you must create the sequence.

Schedule Follow-up Emails

Save that email copy and move on to the next step of adding follow-ups.

As per the best practices recommended by the various cold email experts, you should add at least 2-5 follow-up emails in the sequence; however, saleshandy allows you to add unlimited sequences.

Moreover, before sending your first follow-up email, you must wait at least 2-3 days. If you are planning to send multiple follow-up emails in a sequence, you should increase the waiting period for each follow-up email.

Here is the time duration for the cold email sequence flow:

Follow-up Email Timeline

Add unlimited cold email sequences with Saleshandy:

  • After saving your first email copy, you must return to the Saleshandy dashboard.
  • Click the “Add Step” button below the “Step 1” thread.
  • As the new email container opens, you can write your follow-up email.
  • P.S.: If you want to change the subject line, deselect the “Send this email in the same thread as email” option.
  • You can also select the day your follow-up email will go from the “Start this step on Day:” tab below the email composition box.
  • You can save your sequence once you choose the days on which follow-up emails will be sent.

A/Z Testing:

Now, this is not an essential step to create a cold email sequence, but we highly recommend using the A/Z testing feature by Saleshandy.

Using it, you can add and test up to 26 variations of your email copy, subject lines, and CTAs to evaluate reply rates.

Step 4: Upload your lead list

Finally, you have created your cold email sequence. Now it’s time to launch it!

In this step, you must upload a lead list with your prospects’ email addresses and important information about them, such as their first name, last name, industry, company, etc.

You can either buy email lists from reputable B2B databases or use tools to find email addresses to build a sheet of your prospect’s data.

Once your prospect list is ready, it’s time to upload it to Saleshandy. Follow these steps to upload it:

  • Save the sequence and come back to the dashboard.
  • Click on Prospects.
  • Now, choose Add Prospects.
  • Import your CSV file with your targeted prospect’s data.
  • Don’t forget to verify your email list to avoid hard bounces.
  • Once verified, upload prospects on Saleshandy.

Best Practices Followed by Cold Email Experts at Saleshandy to Achieve Better Open Rates:

  • Test your email: You should always send a test email to ensure that your email copy, subject line, and CTA are in place and that Merge tags are working properly.

Click on Send a test email and check everything is in place.

  • Check your Sequence Score: The sequence score feature by Saleshandy analyzes the overall effectiveness of your cold email sequences and gives actionable insights to make it better.

You can check your sequence score by going to Sequence > Sequence Score.

Enable Sender Rotation: Remember we discussed above that you should connect multiple email accounts to enable sender rotation? After setting up your sequence, you should enable it.

You can follow this guide to enable sender rotation with Saleshandy and schedule your emails in your prospect’s time zone.

Once everything is good to go, Activate your cold email sequence!

Step 5: Monitor your Cold Email Campaigns

Once you activate your cold email sequence, monitor its performance. Look at key metrics like open rate, reply rate, email deliverability, etc.

Saleshandy has an intuitive and analytically capable dashboard that gives you an overall overview of your cold email sequence and key metrics that matter.

Moreover, with its AI-empowered reply categorization feature, Saleshandy analyzes and categorizes your prospects’ emails as interested, not interested, meeting booked, or do not contact again based on their replies.

Hence, it eliminates the need to review every prospect’s reply.

Here are important analytical findings by our in-house experts that you can use to analyze and enhance your cold email campaigns to achieve better results:

Key Takeaways

To generate replies with your cold emails sequence, you should focus on these 3 three crucial elements:

  1. Icebreaker: Always add a trigger or something related to your prospect’s life or organization to break the conversation barrier. Adding icebreakers allows your prospects to start the conversation smoothly with you.
  2. Provide VALUE & OFFER – Your offer shouldn’t be generic. Make sure your offer showcases the following:
    – USPs
    – How your value can benefit your prospect
    – Highlight the cost-effectiveness of your offer.
    – Mention how quickly your offer can help them achieve results
  3. Include an actionable CTA—Your CTA should prompt the recipient to take action, such as booking a meeting, calling you, or simply replying. However, make sure you do not sound too demanding in the CTAs.

These are the 3 crucial things you should have in the best cold outreach email sequences. Hence, if you create a cold email sequence by yourself, keep these things in mind and write.
